Users’ Outlook Contact fields are mapped to fields in their InterAction Contact lists. You cannot change these field mappings.

InterAction User Fields and Outlook
Each user contact in InterAction has four user fields that are synchronized with Outlook. These fields can be used to store any personal data for contacts in each users list. The fields are single-value text boxes that are synchronized with the User Fields 1-4 in Outlook.
Although users can change the names for these fields in InterAction, they cannot change the names of the User Fields in Outlook. You cannot remap the InterAction Custom Fields to different fields in Outlook.
Outlook Notes
When synchronizing contacts, the Outlook Notes field is the only field that you can choose not to synchronize between Outlook and InterAction. If this field contains any of these elements, you might not want to synchronize this field:
- Meaningful rich text formatting or graphics
- Sensitive information
The Outlook Notes field on contacts is a rich text box that allows formatting such as bold, underline, italics, fonts, tables. Since the related InterAction field is a flat text box, such rich text is stripped out by Microsoft Outlook to InterAction Sync when synchronizing into InterAction. If a user later modifies the field within InterAction, the next Microsoft Outlook to InterAction Sync results in the loss of any rich text data in the Outlook field.
Contact notes/comments stored on user contacts are not shared with the firm version of that contact.
If the Outlook Notes field on contacts contains sensitive information, for example, social security numbers, this sensitive information is exposed in InterAction after the contact is synchronized.
If any of these actions are not desirable, you can choose not to synchronize the Outlook Notes field from Outlook with the My Notes field in InterAction by clearing the Synchronize contact notes/ comments between Outlook and InterAction option in the Synchronization Settings dialog box of the InterAction Administrator.
This is a firm-wide option that cannot be set on a user-by-user or contact-by-contact basis. Once you disable the synchronization of the Outlook Notes field, you cannot return to the default setting of synchronizing comments.
Be sure to inform your users that the Outlook Notes field on contacts will not be synchronized and why your organization made this decision.
