As described in Microsoft Outlook to InterAction Sync Overview, Microsoft Outlook to InterAction Sync is a scheduled process that you configure to run on a regular basis using InterAction Process Manager. Because Microsoft Outlook to InterAction Sync is not initiated by end users, you do not need to install any components on user workstations for the synchronization to occur.
Before you can begin using Microsoft Outlook to InterAction Sync, you must do the following:
- Set up a user account that is used to run the synchronization. This account must have permissions to access users’ mailboxes in Exchange and be an administrator on the workstation from which the Microsoft Outlook to InterAction Sync process is run. For more information, see Setting Up an Exchange Super User Account.
- Select the workstation or workstations from which the Microsoft Outlook to InterAction Sync process is run and install it. For more information, see Where to Install Microsoft Outlook to InterAction Sync and the Installation Reference guide.
- Enter your license key for Microsoft Outlook to InterAction Sync in the InterAction Administrator by choosing Administer > Manage InterAction Licenses.
- Turn on Microsoft Outlook to InterAction Sync Configuration options in the InterAction Administrator. This displays the configuration options on the dialog boxes used to configure user contact lists. For instructions, see Turn on Microsoft Outlook to InterAction Sync Configuration Options in InterAction Administrator.
- Configure settings for new user contact list defaults. For information, see the Loading Data into InterAction guide.
- Connect each user’s contact list with the corresponding mailbox for that user. For more information, see Matching InterAction Users with Exchange Users.
- Enable Microsoft Outlook to InterAction Synchronization for each user’s contact list. For more information, see Enabling and Disabling Microsoft Outlook to InterAction Sync for User Contact Lists.
- If you plan on synchronizing calendar items between Outlook and InterAction, specify the Appointment Types you wish to be available. See Make Activity Types Available for Calendar Items for details.
- If you plan on synchronizing calendar items between Outlook and InterAction, turn on the calendar synchronization feature. Once this feature is enabled, it cannot be disabled. See Enable Calendar Sync for details.
- If you plan on synchronizing calendar items between Outlook and InterAction, specify the default appointment settings. See Specify Appointment Settings for details.
- Schedule Microsoft Outlook to InterAction Sync to run for each of your Exchange Servers. For more information, see Recommendations for Synchronizing Outlook with InterAction.
When the first synchronization is run between InterAction and Outlook, a new folder is added to each user’s Outlook mailbox. This folder is used to maintain information about the synchronization between Outlook and InterAction. For more information about this folder, see Managing Last Synchronization Information.
Where to Install Microsoft Outlook to InterAction Sync
Microsoft Outlook to InterAction Sync should always be scheduled to run on a workstation that has the best possible connection with the Exchange Server with which it is synchronizing. What Software Must Be Installed on the Workstation?
Make sure to include InterAction Administrator along with Microsoft Outlook to InterAction Sync on your synchronization workstation; InterAction Administrator and Microsoft Outlook to InterAction Sync are part of the Administrator Tools installation. InterAction Administrator is used to schedule the processes. Having InterAction Administrator on the workstation makes it easier to review the scheduled processes and the log files for the process on that workstation, however, you are not required to have InterAction Administrator installed on this workstation.
Do I Need to Do Anything to the Exchange Server for Microsoft Outlook to InterAction Sync?
You do not need to install any components on the Exchange Server, nor do you need to change your configuration.
You must, however, set up an account that has rights on the Exchange Server to each of the targeted mailboxes. For more information, see Setting Up an Exchange Super User Account.
Turn on Microsoft Outlook to InterAction Sync Configuration Options in InterAction Administrator
- Log on to InterAction Administrator.
- On the main window entity list, double-click User Contact List Configuration.
- Click the Synchronization Settings button.
- Under Global Setting, choose Microsoft Outlook to InterAction Synchronization and choose OK.
Once you confirm a PIM sync selection, you cannot change the type of PIM sync used by your organization.
Before You Run Microsoft Outlook to InterAction Sync
Prior to running Microsoft Outlook to InterAction Sync, review the following recommendations and requirements:
- You must run Outlook once, as the user that is used to run the synchronization, on the Process Manager machine, prior to running Microsoft Outlook to InterAction Sync.
Running Outlook ensures successful initialization of the Windows Messaging subsystem on the Process Manager workstation. - We recommend that you create a profile for the user account that is used to run the synchronization.
